Ski Camp Terms & Conditions

1.        Definitions

  • Athletes: children under the age of 12 or 14 at the time of the selected PB Camp taking place.
  • Apex2100/Apex/we/us/our: means Apex2100, a company registered in England and Wales with the company number 09095637.
  • Business: any business, trade, craft or profession carried on by you or any other person/organisation.
  • Consumer: an individual customer who is a recipient of services for his/her personal use and for purposes wholly or mainly outside the purposes of any Business.
  • Inliers: Athletes fully accommodated and managed within Apex’s full PB camp package.
  • Day Athletes: Athletes who are only attending our PB Camps during the day and have arranged accommodation privately.
  • Fee: the fee for the selected PB Camp as set out on our Website
  • Parent: a parent or legal guardian of the Athlete who is over the age of 18.
  • PB Camp: high performance ski camps offered by us via our Website.
  • These Terms: these terms as amended from time to time.

  • You/your: you, the person making the booking and the Athlete for whom you book a PB Camp for.

2.        These Terms

These are the standard terms and conditions that apply to the booking of a PB Camp (as defined above). These Terms will apply to any PB Camp unless otherwise specified below. These Terms set out your legal rights and responsibilities and our legal rights and responsibilities. By completing a booking through our online Shopify store via our Website, you agree to be bound by These Terms.


3.       Other Terms That Apply To You

These terms refer to and incorporate the following additional terms, which also apply to you:

·         Our Cookie Policy;

·         Our Safeguarding Policy;

·         Our Complaints Policy;

·         Our Admissions Policy; and

·         Our Equal Opportunities Policy

which can be found on our Website.


4.       We May Make Changes To These Terms

We reserve the right to amend These Terms from time to time without giving you notice. Every time you wish to make a booking, please check our website for the latest booking terms. These Terms were last updated on 17 December 2025.


5.       Who We Are And How To Contact Us

We are Apex2100 a company registered in England and Wales with the company number 09095637. You can contact us by writing to us at pbcamps@apex2100.org. If we must contact you, we will do so by telephone or by writing to you at the email address or postal address you provided to us in your booking.


6.        Bookings & Payment

6.1.    All bookings shall be governed by These Terms.

You may place a booking for a PB Camp once you have selected the relevant camp via our Website and have completed the online form through our Shopify store. Please check the details of your booking are complete and accurate before you confirm your booking, we will not be liable for any delay or non-performance if you provide us with incorrect information

6.2.    A booking confirmation will be emailed to you upon successful payment of the Fee.

6.3.    We have the right, at our sole discretion, to refuse or cancel any booking at any time. Please note that bookings will be subject to availability. Full payment of the Fee is required at the time of all bookings.

6.4.    The Fee (inclusive of any VAT) for your booking will be determined by the price displayed on our website for the relevant PB Camp.

6.5.    Last-minute bookings (past the stated deadlines) may be accepted at our discretion; however, they may incur an additional charge and will not be eligible for any discounts.

6.6.    By making a booking, you confirm that you are a Parent and that the individual for whom you are making a booking for, is an Athlete.


7.        Changes & Cancellations by Apex2100

7.1.    We may cancel or modify Camps due to unforeseen circumstances (e.g., weather, safety concerns, operational issues). If this occurs, Clients will be notified promptly and offered either:

7.1.1.A full refund, or

7.1.2.A transfer to a future camp (subject to availability).


8.       Your Right to Cancel

8.1.    If the Athlete is a Day Athlete:

8.1.1.you have 14 days from the day of booking a PB Camp to change your mind. Should you chose to do so, subject to Clause 8.1.2, we will issue a full refund of the Fee.

8.1.2.if the Athlete has already begun to attend a PB Camp within 14 days of your booking, and you wish to cancel, we will charge you for the services performed up until the date of your notice to cancel.

8.2.    Subject to Clause 8.1, if you decide to cancel your booking at any time, will issue a refund in accordance with the below:

8.3.    Cancellations must be requested in writing  via pbcamps@apex2100.org .



9.        Client Modifications

9.1.    If you wish to make a change to a booking prior to the start of a PB Camp, please contact us as soon as possible in advance. We will use all reasonable endeavours to accommodate your requested change, although we cannot guarantee that we will be able to accommodate all changes. If we can accommodate your requested change, we will let you know about any changes to the Fee for your booking, or anything else which may be affected by your requested change, and ask you to confirm whether you wish to go ahead with the change.

9.2.    Requests to change booking dates or participant information must be emailed to pbcamps@apex2100.org . All modifications are subject to availability and approval.


10.   Day Athletes

Transfers & Attendance

10.1.                     Day Athletes are not included in airport transfers.

10.2.                     Day Athletes may be included in transfers between the Apex base and the ski training location, at our discretion.

10.3.                     Day Athletes must arrive at the base on time as per the training schedule provided by us.

10.4.                     We shall not be responsible for missed sessions if Day Athletes arrive late or at the wrong meeting point.

Communication & Scheduling

10.5.                     Training schedules are shared via email or Microsoft Teams or the Day Athlete Parent WhatsApp Group.

10.6.                     Parents are responsible for ensuring that Day Athletes follow daily schedules and timings.

Training & Activities

10.7.                     A typical day includes:

10.7.1.    Morning transfer/walk to training slopes

10.7.2.    Ski training until lunch time, then return to base

10.7.3.    Afternoon rest period (enforced)

10.7.4.    Strength & Conditioning (S&C) / fitness training (minimum 1 hour)

10.7.5.    Video analysis and ski preparation session

10.7.6.    Day Athletes participate in all S&C, video analysis, and ski prep sessions.

10.8.                     Participation in additional recreational activities is at the coach’s/perform managers discretion.

Meals

10.9.                     Day Athletes are not provided breakfast or dinner.

10.10.                  Occasional exceptions may be made at coach/manager discretion.


11.   Inliers

Transfers

11.1.                     Parents must arrange travel that aligns with published transfer windows.

11.2.                     We cannot guarantee transfers outside published windows; additional costs may apply.

11.3.                     Parents must ensure athletes have required travel documents (visas, unaccompanied minor paperwork, Apex staff ID numbers where required etc.) and communicate this to Apex.

11.4.                     Apex staff cannot enter airport gate areas; parents must ensure athletes can meet staff at the pick-up point in or near arrivals.

Medical

11.5.                     Parents must complete the medical form and disclose all pre-existing conditions.

11.6.                     If the form is not received, the athlete may be denied participation.

11.7.                     Apex is not liable if an athlete cannot train due to a pre-existing condition.

11.8.                     If an athlete cannot ski for more than 48 hours, a parent/guardian must collect them.

11.9.                     Apex provides basic pastoral and medical support but cannot host long-term non-skiing or non-participating athletes.

PB Camp Information

11.10.                  Parents must complete the transfer form at booking and no later than three weeks before the PB Camp

11.11.                  Arrival/departure options:

11.11.1.                        Apex airport transfer or academy transfer where applicable

11.11.2.                        Parent/guardian drop-off/collection

Meals

11.11.3.                        Breakfast, lunch and dinner will be provided.


12.   Additional information:

12.1.1.    Shopify account must include athlete details; for multiple athletes, parents must notify Apex: pbcamps@apex2100.org

12.1.2.    Two weeks before camp, parents receive a welcome email to their registered Shopify email account with the schedule, staff list, packing list, transfer details.

12.1.3.    Mid-camp updates and post-camp individual reports are provided.

12.1.4.    Scheduled communication windows will be available; a pastoral phone may be offered if athletes lack devices.

12.1.5.    A private Instagram account (Apex2100_Parents) provides camp updates; parents may opt out of having their athlete appear on our social media.


13.   Ski Information

13.1.                     Apex aims for a maximum 1:8 coach-to-athlete ratio but may vary due to staff illness/injury.

13.2.                     Apex may schedule non-ski days due to weather, athlete wellbeing, or unforeseen factors.

13.3.                     Video footage may be taken for training purposes and shared with parents via Google Drive or Microsoft Teams.

13.4.                     Parents may request no filming prior to camp or deletion of footage at any time.

13.5.                     We aim to provide 4 downloadable ski videos per athlete per 6 days of ski training.

13.6.                     Parents must fill out the image release form.


14.   Food

14.1.                     All food allergens must be communicated to us in writing at least one month prior to the Athletes attendance of a PB Camp.

16.   Liability

16.1.                     We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors or for fraud or fraudulent misrepresentation.

16.2.                     We accept no responsibility or liability for any loss or damage to personal property belonging to you.

16.3.                     We will not be liable to you for any loss of profit, loss of contract, loss of commercial opportunity or any indirect or consequential loss or damage. Nothing in these terms is intended to or will exclude, limit, prejudice or otherwise affect any of our duties or obligations to you, or your rights or remedies, or our liability to you, under The Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 or any other consumer protection legislation as amended from time to time.


17.   Personal Data

18.   Waiver

If we do not insist that you perform any of your obligations under these terms, or if we do not enforce our rights against you, or if we delay in doing so, that will not mean that we have waived our rights against you or that you do not have to comply with those obligations. If we do waive any rights, we will only do so in writing, and that will not mean that we will automatically waive any right related to any later default by you.


19.   Insurance

You must secure comprehensive insurance, including medical, accident, and cancellation coverage.


20.   Severance

Each clause within this document operates separately. If any court or relevant authority decides that any of them is unlawful or unenforceable, the remaining clauses will remain in full force and effect.


21.   Force Majeure

Subject to Clause 7, we shall not be in breach of these terms nor shall we be liable for any delay in performing, or failure to perform, our obligations under these terms if such failure or delay results from event, circumstances or causes beyond our reasonable control. Such causes include, but are not limited to power failure, internet service provider failure, fire, flood, storms, earthquakes, acts of terror, natural disasters, pandemics, government restrictions, or any other event that is beyond our control.


22.   Complaints

22.1.                     We are committed to taking all complaints seriously. All complaints will be investigated by us and a response given in as short a time frame as possible.

22.2.                     If you have any complaints you wish to raise with us, please follow the procedure set out in our Complaints Policy (found on our Website).


23.   Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales. Any dispute or claim arising out of these terms, any contract between us and relationship between us shall be settled by the courts of England and Wales.


Agreement

By completing a booking, you hereby acknowledge that you have read, understood, and accepted These Terms.
